QUICK PIX PHOTOSHOOT POLICIES

By booking a Quick Pix photoshoot, the client confirms that they have read, understood, and agreed to the following policies.
1. Booking and Payment

  • Full payment is required at the time of booking unless otherwise stated.

  • A session is not reserved until payment has been successfully processed and a confirmation has been issued.

  • Prices apply only to the session, number of participants, duration, and deliverables listed in the selected package.

  • Additional people, outfits, backdrops, locations, time, or edited photographs may require an additional fee.

  • Prices and package contents are subject to change, but confirmed bookings will retain the terms in effect when booked.

  • The person completing the booking is responsible for communicating these policies to every participant.
     

2. Refunds and Cancellations

  • All payments are nonrefundable because the selected time is reserved specifically for the client.

  • Clients may request one reschedule by providing at least 48 hours’ notice.

  • Rescheduling requests made less than 48 hours before the session may require a new booking fee.

  • A rescheduled session must take place within 60 days of the original appointment, subject to availability.

  • Failure to attend without notice is considered a no-show. No-shows will not receive a refund, credit, or complimentary reschedule.

  • Repeated rescheduling may result in the cancellation of the booking without a refund.
     

3. Late Arrivals

  • Clients should arrive 10–15 minutes before their scheduled start time and be dressed or prepared to begin.

  • Sessions begin and end at the reserved times.

  • Arriving late will reduce the client’s available photography time and may result in fewer poses or photographs.

  • Sessions cannot be extended when another appointment follows.

  • Clients arriving more than 15 minutes late may have their session canceled and treated as a no-show.

  • Additional time may be purchased only when the photographer and studio schedule permit it.
     

4. Preparation, Wardrobe, and Personal Items

  • Clients must arrive camera-ready unless hair, makeup, or styling is specifically included in the package.

  • Clothing changes, makeup adjustments, prop setup, and personal preparation count toward the reserved session time.

  • Solid colors and minimal patterns are recommended for the best results.

  • Clients are responsible for ensuring their clothing, makeup, hair, nails, and accessories are photo-ready.

  • Quick Pix is not responsible for lost, stolen, forgotten, or damaged personal belongings.

  • Clients should not bring valuable items unless they are necessary for the session.

  • Clothing, props, decorations, glitter, confetti, smoke, open flames, liquids, food, animals, or potentially hazardous materials require advance approval.
     

5. Participants and Guests

  • Only the number of participants included in the purchased package may be photographed.

  • Additional participants may require an upgrade or separate fee.

  • Guests who are not being photographed may be restricted due to studio capacity and safety requirements.

  • Children must remain under the supervision of a parent or legal guardian at all times.

  • Parents and guardians are responsible for any damage or disruption caused by their children or guests.

  • Disruptive, unsafe, threatening, discriminatory, or disrespectful conduct may result in the immediate termination of the session without a refund.


6. Minors

  • Anyone under 18 must have permission from a parent or legal guardian.

  • A parent or legal guardian must remain present throughout the session unless Quick Pix approves another arrangement in writing.

  • The parent or guardian completing the booking confirms that they have the legal authority to approve the minor’s participation.

  • Photographs of minors will not be used publicly without appropriate parent or guardian permission.


7. Studio Safety and Conduct

  • Clients and guests must follow all instructions provided by the photographer or studio staff.

  • Running, horseplay, unauthorized handling of equipment, and entry into restricted areas are prohibited.

  • Clients must disclose before the session any accessibility needs, allergies, medical considerations, mobility limitations, or sensitivities that could affect safe participation.

  • Quick Pix will make reasonable efforts to accommodate disclosed needs but does not provide medical supervision.

  • Anyone appearing intoxicated or impaired may be refused service without a refund.

  • Weapons, illegal substances, smoking, vaping, and unlawful activity are prohibited.

  • Harassment, inappropriate touching, unwanted sexual conduct, or abusive behavior will result in immediate termination of the session.

  • Quick Pix may stop or modify any pose, activity, prop, or setup considered unsafe or inappropriate.


8. Damage to Property

  • Clients are financially responsible for damage caused by themselves, their children, participants, or guests to the studio, furniture, backdrops, props, cameras, lighting equipment, or other property.

  • The client authorizes Quick Pix to invoice them for reasonable repair, replacement, cleaning, or loss-of-use costs resulting from such damage.

  • Excessive cleaning, including the removal of confetti, glitter, food, liquids, stains, or unauthorized materials, may result in an additional cleaning fee.


9. Illness and Emergencies

  • Clients experiencing a contagious illness, fever, vomiting, or other symptoms that could place others at risk should request a reschedule as soon as possible.

  • Quick Pix may reschedule a session when a client appears seriously ill or creates a health or safety concern.

  • If the photographer becomes ill or an emergency occurs, the client may choose a new available date or receive a refund for the affected session.

  • Quick Pix is not responsible for indirect expenses such as travel, clothing, makeup, lodging, childcare, or lost wages.


10. Photographer or Studio Cancellations
Quick Pix may reschedule or cancel a session because of illness, emergency, equipment failure, unsafe conditions, severe weather, power outages, building issues, or other circumstances beyond its reasonable control. If Quick Pix cannot provide a replacement date acceptable to the client, its maximum responsibility will be limited to refunding the amount paid for the affected photography service.

11. Outdoor and On-Location Sessions

  • Outdoor sessions are subject to weather, lighting, crowds, permits, location restrictions, and environmental conditions.

  • Quick Pix will decide whether conditions are suitable and safe for photography.

  • A cloudy day, temperature preference, wind, or minor weather change does not automatically qualify a booking for a refund.

  • Clients are responsible for parking fees, admission charges, permits, and other location-related costs unless the package states otherwise.

  • Quick Pix is not responsible for interruptions or restrictions imposed by property owners, security personnel, government agencies, or members of the public.

  • Travel outside the standard service area may require an additional fee.


12. Backdrops, Props, and Setups

  • The session includes the backdrop or setup stated in the package. When no specific backdrop is included, Quick Pix may provide a standard neutral backdrop.

  • Specialty backdrops, decorations, balloon arrangements, furniture, or custom sets must be requested in advance and may require additional charges.

  • Backdrop colors may appear slightly different in photographs because of lighting, camera settings, editing, and screen differences.

  • Quick Pix may substitute an unavailable item with a reasonably similar option.


13. Image Selection

  • When the package requires the client to select photographs, Quick Pix will provide a proof gallery for selection.

  • Proofs are unedited or minimally adjusted and are provided only for choosing final images.

  • Proofs may not be downloaded, screenshotted, edited, published, or shared.

  • Clients must submit their selections within the timeframe stated in the gallery instructions.

  • The editing turnaround begins after all selections are received.

  • Delayed selections will delay final delivery.

  • If selections are not submitted within 30 days, Quick Pix may archive the gallery and charge a retrieval or reactivation fee.


14. Editing and Retouching
Standard editing may include exposure, color, cropping, contrast, and light skin or blemish corrections at the photographer’s discretion.
Standard editing does not automatically include:

  • Major body reshaping or body modification

  • Clothing replacement

  • Extensive wrinkle or stain removal

  • Removal of braces, tattoos, scars, glasses glare, or large objects

  • Background reconstruction

  • Composite images or head swaps

  • Advanced beauty retouching

  • Changes to hair, makeup, nails, or wardrobe

  • Adding people or objects that were not present

Advanced retouching may be available for an additional fee. Quick Pix will not perform edits that it considers deceptive, harmful, discriminatory, unlawful, or outside its creative standards.
“Unlimited edited photos” means all usable photographs selected by the photographer from the session. It does not include test shots, duplicates, missed-focus images, closed-eye images, accidental captures, or photographs that do not meet Quick Pix quality standards.

15. Creative Style and Expectations

  • Clients are encouraged to review Quick Pix’s portfolio before booking.

  • By booking, the client acknowledges and accepts Quick Pix’s photography and editing style.

  • Inspiration photographs may be used as guidance, but an exact recreation is not guaranteed.

  • Final posing, lighting, framing, image selection, cropping, coloring, and editing remain within the photographer’s creative judgment.

  • Differences in appearance caused by lighting, wardrobe, location, weather, printing, or individual screen settings are not considered defects.


16. Turnaround and Delivery

  • Final edited photographs are normally delivered within 3–7 business days after the client submits their selections unless another timeframe is stated.

  • Weekends, holidays, and the day of the session are not counted as business days.

  • Rush delivery may be purchased when available but is not guaranteed until confirmed in writing.

  • Photographs are delivered digitally through an online gallery or download link.

  • Clients are responsible for downloading and securely backing up their files before the gallery expires.

  • Quick Pix is not responsible for files lost after successful delivery.

  • Galleries and project files are not guaranteed to remain available after 30 days.


17. Re-Edit Policy

  • Clients must report technical concerns—such as receiving the wrong image, a corrupted file, or an obvious editing error—within seven days of delivery.

  • One reasonable correction request may be submitted within seven days.

  • Re-edit requests must identify the specific photograph and requested correction.

  • Changes based solely on personal preference, a change of mind, or a request for a different editing style are not included.

  • Additional retouching, replacement selections, or extensive revisions may require an additional fee.

  • Re-editing does not include changing a client’s natural facial features, body shape, wardrobe, hairstyle, or makeup unless purchased separately.

  • Refunds will not be issued because a client dislikes their expression, pose, clothing, hair, makeup, or other elements outside the photographer’s control.


18. Raw and Unedited Files

  • RAW files, source files, rejected images, and unedited photographs are not included.

  • These files remain the property of Quick Pix and will not be released unless a separate written agreement is made.

  • Clients may not apply filters, AI edits, heavy color changes, or other alterations and then represent the altered work as Quick Pix’s final photography.


19. Copyright and Client Use

  • Quick Pix retains the copyright to all photographs under applicable law.

  • The client receives a personal-use license to download, print, and share delivered photographs for noncommercial purposes.

  • Photographs may not be sold, licensed, submitted to publications, used in paid advertising, used to promote a business, or otherwise exploited commercially without written permission.

  • Copyright notices or watermarks may not be removed from proof images.

  • Vendors, brands, publications, and businesses must obtain permission before using the photographs.


20. Portfolio and Promotional Use
The client may choose whether Quick Pix can use photographs from the session in its portfolio, website, social media, advertising, samples, displays, or promotional materials. Declining promotional use will not affect the photography service. Any promotional authorization for a minor must be provided by a parent or legal guardian.

21. Printing

  • Quick Pix cannot guarantee the color, cropping, sharpness, or quality of prints ordered from third-party printers.

  • Clients are responsible for checking image dimensions and cropping before ordering.

  • Complaints concerning products purchased from an outside printing company must be directed to that company.


22. Equipment or Data Failure
Quick Pix maintains reasonable backup and equipment procedures. However, if photographs are lost, damaged, corrupted, stolen, or not captured because of equipment malfunction, storage failure, accident, or another circumstance beyond reasonable control, Quick Pix’s maximum liability will be limited to a reshoot or refund of the amount paid for the affected service.

23. Personal Injury and Assumption of Risk
Clients voluntarily participate in the session and accept ordinary risks associated with posing, moving around studio equipment, using props, and participating at the selected location. Quick Pix is not responsible for injuries caused by a client’s failure to follow instructions, undisclosed health limitations, inappropriate footwear or clothing, reckless conduct, or the actions of the client’s guests.
Nothing in this policy excludes responsibility that cannot legally be excluded.

24. Privacy and Client Information

  • Client information will be used to manage the booking, communicate about the session, process payment, and deliver photographs.

  • Contact and payment information will not knowingly be sold.

  • Online galleries should not be treated as permanent private storage.

  • Clients should avoid sharing gallery passwords or download links with unauthorized individuals.

  • Quick Pix may retain booking records and image files for business, legal, backup, and archival purposes, but long-term storage is not guaranteed.


25. Chargebacks and Payment Disputes

  • Clients should contact Quick Pix directly and allow a reasonable opportunity to address concerns before initiating a payment dispute.

  • Fraudulent chargebacks or disputes filed after services have been properly provided may be challenged using booking confirmations, attendance records, communications, gallery activity, and delivered files.

  • This provision does not limit any lawful consumer rights.
     

26. Force Majeure
Quick Pix will not be considered in breach of these policies when performance is prevented or delayed by severe weather, natural disasters, government restrictions, public emergencies, utility outages, building closures, transportation disruptions, civil unrest, or other circumstances beyond reasonable control. The parties will work in good faith to reschedule the session when practical.

27. Policy Violations and Refusal of Service
Quick Pix reserves the right to refuse or end service when necessary to protect the safety, dignity, property, legal rights, or working environment of the photographer, staff, clients, or guests. When a session is ended because of a client’s or guest’s misconduct or policy violation, no refund will be provided.

28. Agreement and Severability

  • These policies, the selected package description, invoice, and written booking communications form the agreement between Quick Pix and the client.

  • Any exception must be approved by Quick Pix in writing.

  • If one provision is found unenforceable, the remaining provisions will continue to apply.

  • The agreement will be governed by the laws of the state in which Quick Pix operates, unless applicable law requires otherwise.

By completing the booking and submitting payment, the client confirms that they are at least 18 years old, are authorized to make the booking, and agree to these Quick Pix Photoshoot Booking Policies.
